This policy explains how Coaching Desk (proprietor: Sumit Saurabh) ("we", "us"), which runs Coaching Desk (the mobile app and the website at coachingdesk.in), handles personal data. It is written for the institutes that use Coaching Desk, their teachers and staff, and the parents and students whose details institutes keep in the app.
1. Who is responsible for what
- Your account. For the people who sign in to the app (owners, teachers, staff), we decide how their account data is used.
- Data an institute enters. Students' and parents' details are entered and controlled by the institute. Under India's Digital Personal Data Protection Act, 2023, the institute is the Data Fiduciary for that data and we process it on the institute's behalf, only to provide Coaching Desk to that institute.
2. What we collect
- Account data: your mobile number (to sign in with a one-time code), your name, the institutes you belong to and your role.
- Institute data entered by the institute: students' names, roll numbers, joining dates and notes; parents' names and mobile numbers; a student's own mobile number if the institute adds one; batches and timings; attendance; fees, invoices, payments recorded and receipts; tests and marks; notices.
- WhatsApp consent: whether a parent (or a student's own number) agreed to receive updates, and when.
- Messages: a record of the WhatsApp messages sent through Coaching Desk and whether they were delivered.
- Technical data: basic logs needed to keep the service secure and working (for example the time of a request and errors). We do not log phone numbers, one-time codes or message contents in plain form.
We do not collect your contacts, location, photos or files, and the app does not ask for those permissions.
3. Why we use it
- To provide the app: sign-in, students, attendance, fees, receipts, tests, notices and team access.
- To send the WhatsApp messages an institute's plan includes (fee reminders, absence alerts, receipts, notices, results), only to numbers whose owners agreed to receive them.
- To bill institutes for their Coaching Desk plan.
- To keep the service secure, prevent misuse, and meet our legal obligations.
We do not sell personal data, show advertising, or use students' data for tracking, profiling or behavioural monitoring.
4. Children's data
Many students are under 18. Institutes are responsible for obtaining the consent of a parent or guardian before entering a child's details or sending messages to a child's own number. The app asks the institute to confirm a parent's agreement before any automatic message goes to a number. We use children's data only to provide the service to their institute.
5. Payments
Coaching Desk does not collect or handle fee payments between parents and institutes. Parents pay the institute directly, and the institute records the payment in the app. Institutes pay us for their Coaching Desk plan through our payment provider, which processes card or UPI details under its own security standards; we do not store card details.
6. Who we share data with
Only with service providers that help us run Coaching Desk, under contracts that require them to protect it:
- Hosting and storage providers (our servers and databases are located in India).
- Meta Platforms (WhatsApp Business Platform), to deliver WhatsApp messages.
- An SMS provider, to send sign-in codes.
- A payment provider, for institutes' plan payments.
We may also disclose data when the law requires it.
7. How long we keep it
- Institute data is kept while the institute uses Coaching Desk.
- When an owner deletes an institute, it can be restored for 30 days; after that all its data is permanently deleted, except the minimum we must keep for our own billing records.
- When an institute erases a student's personal data on a parent's request, the name, parent details, phone numbers and notes are removed at once; amounts on old invoices stay for the institute's accounts, without the name.
- When you delete your account, your sign-in details are deleted and you are signed out on every device.
- Data exports are deleted 7 days after they are created. Backups are overwritten on a rolling basis.
8. Your rights
You can ask to access, correct or erase your personal data, and to withdraw consent. Parents and students should usually contact their institute first, since the institute controls that data; you can also write to us and we will help or pass the request to the institute. Parents can stop automatic WhatsApp messages at any time by replying STOP. To delete an app account, see Delete your account.
9. Security
Data is encrypted in transit. Access is limited to each institute's own members, by role. Sign-in uses one-time codes, and sessions can be ended on all devices.
10. Grievance officer
For any concern about your personal data, contact our Grievance Officer, Sumit Saurabh, at support@coachingdesk.in, or write to Coaching Desk (proprietor: Sumit Saurabh), 42, Ward No. 01, Mirpur, Block Chiraiya, Motihari, Purbi Champaran (East Champaran), Bihar 845415, India.
